When you receive a chargeback in the mail or email, you will have up to 14 days to respond back to your merchant provider. In order to keep your account in good standing with your merchant provider, there is a few things to know and learn how to fight chargebakcs. To start it is VERY important to respond back in a timely manor. If you failed to respond back within the time line provided, normally your merchant provider will extend an additional week to respond back to your chargeback. In this case it would be good to at least contact your merchant provider to let them know you need additional time.
When you are ready to respond to your chargeback, you will first look up the client name by using the last four digits of the credit card number displayed on the actual chargeback notice. Once you look the client name up, you will then be able to determine whether or not to dispute your chargeback or issue a refund back to your customer. Either way, you must respond back to your merchant provider with this information.
If you choose to dispute chargeback, you will compile a list of supporting documentation, such as, signed contracts, photo copy of work completed, email communication, client notes, invoice’s, positive AVS matches, scanned copy of chargeback notice, etc… along with a typed document that describes the supporting documentation and explanation why the merchant provider should rule in your favor. If you choose to issue a refund via chargeback, you will provide a typed document, explaining to the merchant provider that you would like them to issue a refund/credit back to the customer through the chargeback itself along with a scanned copy of the chargeback notice.
Once you have compiled your response, you will fax in all information needed to either dispute or refund/credit your chargeback.
